AI for hotels and apartments: guest replies in three languages
In season the receptionist of a small Batumi hotel answers dozens of identical messages: how to get there, where to park, what time breakfast is — all in different languages. AI helps reply faster and more politely and leaves people free for what needs attention.
What AI can take over
- Ready replies to frequent questions: check-in, parking, Wi-Fi, transfers, breakfast — in Russian, English, Georgian and other languages.
- Self check-in instructions for apartments: clear, step by step, in the guest’s language.
- Polite replies to reviews — both good ones and complaints.
- Descriptions of rooms and services for the website and booking platforms.
- Translating a guest’s message written in a language nobody on the team speaks.
How to do it without risk
The simplest and safest approach is an "answer base": you write down the facts about the hotel once (address, check-in time, rules, service prices), and AI phrases a reply from those facts in the right language. The receptionist checks it and sends it.
I do not recommend a fully automatic chatbot that answers guests without a human at the start: a mistake in a price or rule costs more than the time saved.
Wi-Fi and hardware come first
Guests complain about Wi-Fi far more often than about replies. Before adding AI, make sure the network covers every room and the guest network is separate from the work network with the till and reception computer. More: IT for hotels and apartments.
How I help
I build the answer base together with the owner, set up the tool and train the reception staff. Guests’ personal data does not go into public AI services — I show the team the rules for that.
